Please only book one appointment per day unless specifically asked by the Doctor to book a same-day follow up. We also reserve the right to refuse service.

CANCELLATIONS AND REFUNDS POLICY

Prepayment policy

For most services, a pre-payment of £45 is taken at the point of booking. The remainder of your consultation fee plus any additional tests, medications or service(s) is required to be paid in full at the end of your consultation. Please note that tests are not included in the consultation fee.

Cancellation policy

If you are unable to attend your appointment you agree to let us know at the earliest opportunity.

Appointments can be canceled up to 24 hours before your scheduled appointment time and any deposit paid will be refunded minus our administration charge of £15. This can be done via the link in the booking email.

If you cancel your appointment or reschedule less than 24 hours before the scheduled appointment time you will not be eligible for any refund on any prepayment.

Rescheduling

For GP services, you may reschedule your appointment free of charge up to 24 hours before the time of your appointment. You can do this via the link in your email booking confirmation.

If your booking is less than 24 hours before your scheduled appointment for GP services you will lose any prepayment or deposit paid for your initial appointment.

Late Policy

To provide the best possible service to all our patients, we ask you to contact us if you are running late so we can make all necessary arrangements to ensure you are seen.

If you are late for your appointment without our prior agreement, we may consider you to have failed to attend, in which case, you will not be eligible for a refund of your pre-payment/deposit.

Failure to attend

If you fail to attend your appointment or are more than 5 minutes late to your booked GP services appointment or cancel your appointment within 24 hours of the scheduled start date you will be deemed to have missed your appointment. You will not be eligible for a refund of any prepayment or deposit.

We may ask for full payment in advance from any patients deemed to have abused its terms and conditions, or who have a history of failure to attend, cancelled or rescheduled appointments.

Refunds

Refunds will only be made to the card originally used to make the original booking. We will process your refund within 7 days of the request. Please allow up to 10 working days thereafter for the refund to appear on your statement.

We cannot refund any medications, vaccinations, tests or treatments once they have been administered or dispensed.

Administration fee

Appointments and home tests that qualify for a refund are subject to an administration cost of £15 which will be deducted from the amount refunded.

Privacy

By accepting these Terms and Conditions, you acknowledge that you understand, have read and will abide by our Patient Privacy Policy, Website Privacy Policy and Cookie Policy (all as updated from time to time in accordance with its terms), which are part of these Terms and Conditions by reference.

These Terms and Conditions are governed by English law and you can bring legal proceedings in respect of our Services in the English courts. If you live in Scotland, you can bring legal proceedings in respect of the products in either the Scottish or the English courts. If you live in Northern Ireland, you can bring legal proceedings in respect of the products in either the Northern Irish or the English courts.

GP and Me may contact you by email to the email address provided in your account, by written communication to the postal address provided in your account or by a general notice on the system

Applicable law:

These Terms and Conditions are governed by English law and you can bring legal proceedings in respect of our Services in the English courts. RECORDINGS POLICY

Pop Up Docs / GP and Me

Use of Audio or Video Recordings

Pop Up Docs / GP and Me may make audio or video recordings of consultations for purposes relating to patient and clinician safety, safeguarding, clinical governance, complaint resolution, regulatory compliance, and legal defence.

Consent to Recording

By booking and attending an appointment with Pop Up Docs / GP and Me, the patient acknowledges and provides implicit consent that:

a consultation may or may not be recorded for safety, governance and legal purposes,

any recording may be securely stored as part of the clinical record, and

recordings may be used where necessary as evidence in internal, regulatory or legal proceedings.

Patients retain the right to request that recording be stopped at any time during the consultation unless required for safety, safeguarding or legal-protection reasons.

Use and Disclosure

Recordings will be stored securely and only viewed by authorised clinical or governance staff. Recordings will not be shared outside Pop Up Docs / GP and Me without explicit consent unless required by:

court order, legal claim or regulatory process,

safeguarding or statutory disclosure obligations,

defence of the clinic or its clinicians against complaint or legal action.

Evidence

Recordings may be relied upon and submitted as evidence where relevant to a complaint, investigation, regulatory process or court proceedings.

Patient-Initiated Recordings

Patients may record consultations for personal use; however, courtesy notification to the clinician is requested. Recordings intended to form part of the clinical record must be agreed separately.

Retention

Recordings are retained in accordance with medical records law and data-protection legislation.

Booking Statement

By proceeding with your booking, you confirm that you understand and agree that your consultation may be recorded for safety, governance and legal-protection purposes, and that such recordings may be used as evidence if required.
